The organiser should not suffer
Every group trip has one person who ends up chasing payments, polling for dates and holding the itinerary in their head. If that person is you, this page is for you — because the whole job can be handed over.
I become the single point of contact: everyone books and pays individually, and nobody in the group has to be the banker or the bad guy.
Decide the big three first
- Dates — offer two or three options, not a blank calendar. Polls with fewer choices actually get answered.
- Budget — agree the per-person range early, in writing. The trip is designed around it, not apologised for later.
- Destination style — beach, city, mountains or cruise. The group that agrees on the style agrees on everything else.
What kind of trip suits a group
All-inclusive resorts and cruises are the group classics for a reason: costs are fixed and fair, nobody splits a restaurant bill seventeen ways, and everyone can do their own thing by day and regroup for dinner.
A big vacation rental works beautifully for families who want to be under one roof. A guided tour suits groups who want the planning lifted entirely.
The plan that keeps everyone happy
- One or two anchor events — the celebration dinner, the group excursion — booked ahead, with the rest of the time free.
- No mandatory mornings. The early risers and the late sleepers both enjoy the trip more when neither is scheduled.
- A shared document with the flights, the address and the plan, so the organiser stops answering the same eleven questions.
- Rooms booked together but paid individually, so nobody fronts thousands for the group.
Money, handled gracefully
The fairest system is the simplest: everyone pays for their own booking directly, and shared costs are agreed before anyone books anything. Group rates and perks — the free room, the onboard credit, the private dinner space — often come with a booking of this size, and I know where to ask for them.
What I handle for you
The destination shortlist, the group rate negotiations, each person's booking and payments handled individually, the anchor events reserved ahead, and the one shared itinerary everyone can check instead of texting you.
